Marketing & Events Coordinator
Position Description
We are searching for a highly qualified marketing and events coordinator to work closely with the team. From day one, this individual will contribute to existing marketing and event programs, while assisting with the development of new initiatives aligned with company and client goals. The ideal candidate will have prior experience with a wide range of marketing functions, including communications, advertising, branding, digital marketing, and event execution. The marketing coordinator must be an organized multi-tasker able to handle many diverse projects at once and meet tight deadlines.
Primary Responsibilities
- Spearhead Pickering Energy Partners event strategy by identifying, assembling, and organizing each event and maintaining pre- and post-event communication, attendance, and logistics.
- Plan and execute 8-10 annual events, including dinners (~25 attendees), happy hours (~75-100 attendees), webinars (~75-100 attendees), and conferences (~150-400 attendees), ensuring smooth coordination from concept to post-event analysis.
- Develop and manage event budgets to optimize resources while delivering high-quality experiences.
- Identify and secure sponsorship opportunities, create partnership proposals, and manage sponsor relationships to drive sponsorship fundraising efforts.
- Maintain and manage CRM for internal and external communications, ensuring all event-related data is accurately captured.
- Collaborate with internal teams to draft compelling email campaigns, segment distribution lists for personalized outreach, and monitor engagement metrics.
- Work closely with external marketing agencies to align social media campaigns with division objectives and actively monitor and engage with followers to build the PEP brand.
- Manage press coverage by serving as a point of contact for publications and reporters, and assist in creating and distributing press releases and media pitches.
- Create and update marketing materials such as white papers, case studies, and presentations to support business development efforts.
- Collaborate with external vendors to implement website updates, ensuring accurate employee and event information.
- Provide administrative assistance to the Business Development team and handle ad hoc projects or urgent requests from leadership as needed.

Specific Qualifications
- 2-5 years’ experience in events and marketing.
- Proven experience in raising sponsorship dollars.
- Knowledge and experience in planning high-level conferences and events.
- Strong interpersonal skills, including the ability to collaborate with management, team members, clients, and customers.
- Familiarity with content management systems, webpage analytics, CRM, and other relevant software.
- Data analysis, critical thinking, and problem-solving abilities.
- Creativity, adaptability, and familiarity with current marketing trends.
